Pricing and packaging a tour or experience

Once people are looking at your tour, the price decides whether they book, and whether that booking pays you. A tour or experience isn't priced like a room: you sell sessions and seats, not nights, and every guest adds a cost. This guide shows you how to work out what a session really costs, choose how you charge, and set terms that are fair to you and your guests.

The short answer

Add up what one session costs you, the fixed part and the part each guest adds, before you look at anyone else's price. Charge per person for shared sessions and a flat price for private groups, and make sure the smallest group you'll run still covers its costs. Name anything guests pay on top, so the total holds no surprises. Then let the season and the busy dates move your price, and choose a cancellation policy you can live with on a rainy day.

Step 1: know what one session costs you

Many hosts underprice because they count only the obvious costs. Split yours into two groups.

Costs for each session

Costs for each guest

  1. Write down every cost for one typical session. Include your preparation and travel time, not just the hours with guests.
  2. Work out the cost for your smallest group. Divide the session costs by the fewest guests you'd run with, then add the cost per guest. That's your floor per person.
  3. Add the commission. Each booking site keeps a share, so a price that only just covers your costs leaves you short.
  4. Check the month. The break-even calculator is built around nights, but the sum works the same if you read each night as one session: enter your fixed monthly costs and it shows how many sessions a month you need to cover them.

Step 2: choose how you charge, and what's included

Per person

Private group

Revamp lets you charge per person, or a flat price per group, session, class, couple, visit or ticket.

Minimum group size. If a session only pays with four guests, a booking for two is a problem. Our suggestion: price so two guests still cover your costs, or offer the tour as private only. Revamp's "Approve first" setting lets you see each request before the guest pays.

Included or extra. Guests compare totals, so be exact about what's included and what's not. If guests pay something on top, Revamp lets tours and experiences add a named extra fee, such as entrance tickets, materials, equipment rental, transport, food and drinks or a service fee, charged once per booking or per guest. Use it for costs that really vary; one clear price is often simpler.

Compare honestly. Look at five to ten tours truly like yours: same length, same region, similar group size and inclusions. A four-hour city walk and a full-day trip with lunch are not comparables. If yours includes more, show it in the listing, not just in the price.

Step 3: set sessions, capacity and the season

On Revamp, tours and experiences are sold in time slots with a capacity. You choose whether guests pick a day or a start time, then set weekly start times, spots per session, length, how many hours ahead guests must book, and how far ahead they can book: 3, 6 or 12 months. A full session closes by itself.

  1. Set capacity by the experience, not the vehicle. The right number is the one where every guest still hears you and gets a turn.
  2. Leave a gap between sessions. Time to reset, eat and reach the next meeting point protects the next group.
  3. Follow the season. The Statistical Committee counted 827,112 visitors to Armenia in July to September 2025, against 386,741 in January to March. By month, the Tourism Committee counted 334,396 in August 2025 and 117,372 in February. Run more sessions and charge more in summer; in winter, run fewer sessions rather than going below your floor. The figures are on Armenia in numbers.
  4. Watch the busy dates. Busy dates lists the big events in Armenia, each with its source. On Revamp, Dashboard → Analytics → Events & pricing suggests prices for upcoming event dates; for tours it looks at events that bring visitors with time to spare, and the days around them.

If you charge per person, Revamp's calendar lets you set a different price for chosen dates. For a quiet month, the pricing step also lets you run a sale for a window of travel dates, shown with an "on sale" badge.

Step 4: children, groups and cancellation terms

Children. Decide whether children pay full price, and say so. On Revamp, a per-person price is the same for every guest, so if you host many families, a private family session at a group price is often the clearest offer. Say who the tour isn't suitable for, and any age limit, so no family books something their children can't do.

Larger groups. Revamp's promo codes (a percentage or an amount, with date windows and usage limits) suit a one-off offer, such as a discount agreed with a school or company group through Revamp's messages. Keep every agreement and payment on the booking platform.

Cancellation. Revamp offers two options. Flexible gives free cancellation up to a cutoff you choose, in days before the start, and no refund after it. Non-refundable never refunds, and you can add a discount as the reason to choose it. Our suggestion: flexible with a short cutoff suits most day tours, because guests book late and plans change. Also write down what happens if you cancel for weather or safety, and put it in your important info. The glossary explains the terms.

Questions hosts ask

Should I price per person or per group?
Per person for shared sessions, a group price for private ones. Many hosts offer both as separate options.

What if only one guest books a session?
Price so your smallest realistic group covers its costs. If you can't run a session for one or two, offer the tour as private only, or use "Approve first" so you see each request before the guest pays.

Should entrance tickets be in the price or an extra fee?
If they're the same for everyone, include them and say so. If they vary, use Revamp's named extra fee, charged per guest, so the total is clear before guests book.

Do I charge children less?
It's your choice. A per-person price on Revamp is the same for every guest, so many hosts offer families a private session at a group price instead.
